Bring your contacts to Truepost

The people in your address book are the people Truepost trusts: their mail sorts to the top, shows their real names, and they come up first when you type a recipient. Here is how to bring them in from wherever they live now.

Two steps, for any of them

  1. Export your contacts to a file from the service or phone below. Truepost reads .vcf (vCard) and .csv files.
  2. In Truepost: ⚙️ Settings → Contacts → Import contacts, then pick the file. Everyone in it joins the contacts of every account you are signed in with.

Already automatic: if you sign in to Truepost with a Gmail, Outlook.com or Zimbra account, that account's address book comes in on its own. You only need a file for anything else: Yahoo, a phone, Thunderbird, an old account you don't sign in with.

Gmail / Google Contacts

Automatic when you sign in to Truepost with that Gmail account.

  1. Go to contacts.google.com.
  2. To export everyone, tick any contact, then at the top left choose Selection actions → All.
  3. At the top right, click More actions (⋮) → Export.
  4. Pick Google CSV or vCard and click Export. The file goes to your Downloads.

Also worth bringing: "Other contacts" (people Google saved because you emailed them) are not in a normal export. Open Other contacts in the left sidebar and export those too.

Yahoo Mail

  1. In Yahoo Mail, click Contacts.
  2. Click More options (⋯).
  3. Click Export to CSV file (in the older layout: Export (CSV)).

.csv only. Yahoo says accented letters and dashes in names can stop its export; if it fails, edit those contacts first. (Yahoo's help)

Outlook.com, Hotmail, Microsoft 365 on the web

Automatic when you sign in to Truepost with that Outlook account.

  1. Click the People icon in the side panel.
  2. On the toolbar, choose Manage contacts → Export contacts.
  3. Choose All contacts (or one folder) and click Export. The .csv lands in Downloads.

Contact lists (groups) come out as their members, one by one.

Outlook for Windows

Classic Outlook (Microsoft 365, 2016 to 2024)

  1. File → Open & Export → Import/Export.
  2. Export to a file → Next → Comma Separated Values → Next.
  3. In Select folder to export from, scroll up and pick the Contacts folder under your own account. For Gmail or other IMAP accounts it is called Contacts (This computer only).
  4. Browse, name the file, then OK → Next → Finish. No message appears; the box just closes.

The folder choice is the step people get wrong. And don't open and re-save the file in Excel before importing: that can break it.

New Outlook

  1. Select People in the side panel.
  2. On the ribbon, select Export contacts.
  3. Under Contacts from this folder, pick an option and click Export. The .csv lands in Downloads.

Zimbra

Automatic when you sign in to Truepost with that Zimbra account.

Modern web app (Zimbra 9 and 10)

  1. Click the Contacts tab.
  2. Open the contact-list menu labelled Sort by … (or right-click an address book).
  3. Choose Export, pick VCF, click Export Now and save the file.

Choose plain VCF, not "Multiple VCF in a zipped file". And skip Settings → Accounts → Export, which exports your whole mailbox.

Classic web client

  1. Preferences → Import/Export.
  2. Under Export, set Type to Contacts and keep Account Contacts.
  3. Pick the address book under Source and click Export. A .csv downloads.

One address book at a time. The people Zimbra collected as you emailed are in a separate Emailed Contacts book; export that one too.

iPhone and iCloud

On the iPhone (iOS 16 and later)

  1. Open the Contacts app and tap Lists (top left).
  2. Touch and hold All Contacts (or All iCloud).
  3. Tap Export, choose the fields, then Done.
  4. Choose Save to Files. Then in Truepost on the same phone, Settings → Contacts → Import contacts and pick it from Files.

On a computer, at iCloud.com

  1. Go to icloud.com/contacts and sign in.
  2. Click the Actions button (⋯) at the top of the list → Select All Contacts.
  3. Click Share → Export vCard.

Select all first, or you export only the one contact that is highlighted.

Android and Samsung

Google Contacts app

  1. Open Contacts and tap Organize at the bottom (on older versions: Fix & manage).
  2. Tap Export to file, choose the accounts, then Export to .VCF file.
  3. Save it (usually Downloads, as contacts.vcf).

Samsung Contacts

  1. Open Contacts and tap the menu (≡, or ⋮ at the top right).
  2. Manage contacts → Import or export contacts → Export.
  3. Choose Internal storage (not SIM), select All, then Done → Export.

Exporting to the SIM keeps only names and numbers, so use Internal storage.

Mac Contacts

  1. Open Contacts and click All Contacts.
  2. Edit → Select All (⌘A).
  3. File → Export → Export vCard, choose where, and Save.

Not "Contacts Archive": that makes a Mac-only file Truepost can't read.

Thunderbird

  1. Open the Address Book.
  2. In the left pane, right-click an address book (Personal Address Book, Collected Addresses…).
  3. Choose Export…, pick vCard or Comma Separated (UTF-8), and Save.

Export each address book on its own. Tools → Export makes a whole-profile ZIP instead.

Proton Mail

  1. Sign in and click the Contacts icon in the side panel.
  2. Tick the box that selects all contacts.
  3. Click … → Export selection as .VCF. Proton decrypts them in your browser and saves the file.

AOL, Zoho, Fastmail, HubSpot, LinkedIn

Truepost reads the file once to add the addresses and names to your contacts. Nothing in it is shared or sent anywhere. Your own addresses, shared senders such as Facebook's notification address, and anyone you have blocked are left out.
